Trade Fair Stand Approval 2026: The Deadlines That Sink a Booth

Whether a trade fair stand needs approval, and by when the drawings have to be in, is decided by each German venue itself. A comparison of the 2026 rules in Frankfurt, Düsseldorf, Nuremberg and Hanover: deadlines, documents, fees, material rules and a timeline counted backwards from the first build-up day.

Key takeaways

  • Single-storey indoor stands without special constructions need no stand approval at Messe Frankfurt, Messe Düsseldorf or NürnbergMesse. Frankfurt draws the line at 100 sqm of floor area and 4.00 m of height, Nuremberg at 400 sqm.
  • Approval is required everywhere for two-storey stands, structures in the outdoor area, platforms above 0.20 m, closed ceilings, glass constructions, moving parts and LED walls. The standard deadline set by the venue operators: six weeks before build-up starts.
  • Show organisers set their own, earlier deadlines. Frankfurter Buchmesse: stand drawings by 1 August, special constructions eight weeks before build-up starts. IAA Transportation 2026: every stand requiring clearance by 26 June 2026.
  • Submit late and you either pay or rebuild: Messe Düsseldorf adds a 35 percent surcharge on the plan-check fee, the VDA checks late designs only on site, and NürnbergMesse allows up to 42 days of processing time.
  • Materials must be at least flame retardant (B1 to DIN 4102-1 or the equivalent class to EN 13501-1), and the test certificate has to be available at the stand. For 2026 Messe Düsseldorf bans artificial plants, bamboo, reed, hay and straw.

Whether a trade fair stand needs approval is not decided by "the trade fair" but by the individual venue together with the show organiser. The basic rule of the large German venue operators is uniform: a single-storey indoor stand without special constructions may be built without a plan check. As soon as a second storey, a platform above 20 centimetres, a closed ceiling, an LED wall, glass, moving parts or a spot in the outdoor area is added, dimensioned drawings and usually a verified structural calculation have to be submitted, as a rule six weeks before build-up starts. Individual organisers move the deadline much earlier: the Frankfurter Buchmesse to 1 August, IAA Transportation 2026 to 26 June. Miss those dates and you pay surcharges, get your design checked on the building site, or rebuild on site.

When a trade fair stand requires approval

Whether approval is required depends on the construction, not on the size of the appearance. A small stand with a platform 30 centimetres high requires approval; a 90 square metre system stand 3.50 metres high in Frankfurt does not. The venue operators check structural safety, fire protection and escape routes, and the elements on their lists are exactly the ones that touch those three points.

Two patterns stand out. First, Frankfurt and Nuremberg define a threshold via floor area (100 and 400 square metres respectively), Düsseldorf only via the type of construction. Second, the organiser level is almost always stricter than the venue level: on the same Frankfurt grounds, a 3-metre system stand needs no approval from Messe Frankfurt Venue, but it does need drawings for the Buchmesse.

The timeline counted backwards from build-up day

The deadlines in the guidelines are submission deadlines, not processing promises. Anyone who wants the approval note in hand on the first day of build-up plans backwards.

  1. 12 weeks before build-up

    Fix the construction

Heights, storeys, platforms, ceilings, media surfaces and outdoor space decide whether the stand requires approval. Each of those elements pulls drawings and usually a structural calculation behind it. Leaving open at this point whether the platform will be 15 or 25 centimetres high means leaving open a whole approval procedure.
  2. 8 to 10 weeks before build-up

Get the structural calculation checked, reconcile organiser deadlines

For two-storey structures and special constructions, Frankfurt and IAA Transportation require a calculation to German standards checked by a second, independent structural engineer. In parallel, check the organiser deadlines: Buchmesse eight weeks, IAA a fixed calendar date.
  3. 6 weeks before build-up

Standard deadline of the venue operators

The last chance to submit at Messe Frankfurt and Messe Düsseldorf. For complex cases NürnbergMesse states up to 42 days of processing time, which is six weeks as well. Frankfurt wants the documents for special constructions in German and in duplicate.
  4. 2 weeks before build-up

Evidence for media surfaces, close out queries

Free-standing LED walls at SPS need a structural safety certificate, proof of the load capacity of the substructure and construction drawings at the latest two weeks before the event. By now the approval note should be there.
  5. Build-up day

Build only with the approval note

In Frankfurt and Nuremberg, stand construction is cleared only once the approval note exists. In Frankfurt the structural engineer reports to the stand construction manager for the on-site inspection. Test certificates for all materials must be available at the stand.

Which documents the venue operators ask for

The lists of the venues are very similar, because they answer the same three questions: does it stand safely, does it burn, do people get out. For special constructions and two-storey structures, Messe Frankfurt asks for five items, IAA Transportation for eight.

  1. Dimensioned stand drawings at a scale of 1:100

Floor plans, elevations and sections, in Frankfurt and Düsseldorf labelled in German or English. IAA Transportation additionally limits submissions to a maximum of five renderings of the stand design.
  2. Checked structural calculation to German standards

Frankfurt and the IAA require the check to be done by a second, independent structural engineer. If it is missing in Frankfurt, the engineering office commissioned by the fair takes over the check and invoices the exhibitor separately. A type approval or an inspection log book replaces the calculation.
  3. Construction description with materials and building material classes

Which materials are used, with certificates. The IAA additionally asks for details on demonstrations, technical equipment such as fire detectors or air conditioning, and on lighting.
  4. Escape route plan

Evidence of escape route lengths and widths, in Hanover in line with the assembly places ordinance of Lower Saxony.
  5. Ceiling plan

Dimensions of all closed ceiling areas. Closed ceilings are a separate trigger for approval at every venue examined here, because they affect sprinklers and smoke extraction.
  6. For two storeys: area calculation

The IAA requires verifiable area calculations of the usable upper floor and of the supporting structure. In Düsseldorf the clear height on the ground floor and on the upper floor must be at least 2.50 m each.

What the approval costs

Messe Frankfurt publishes its 2026 prices as a table; the other venues name flat rates or refer to the effort involved. For 2026, IAA Transportation introduced a new rule that rewards the exhibitor who submits cleanly.

Frankfurt: price list in the factsheet stand approval 2026, in each case per inspection. Düsseldorf: technical guidelines 2026 and stand builder portal. IAA: guidelines as of March 2026, section on stand clearance.

The Frankfurt price list shows why approval is a planning topic and not a form: a two-storey stand with an LED wall and a platform can trigger three separate inspections. Fire protection items come on top, in Frankfurt for example €54 per square metre of built-over area for a fire alarm system where ceilings are closed.

Materials: what is allowed on a stand in 2026

All the guidelines examined here require decoration and stand construction material to be at least of the flame retardant class B1 to DIN 4102-1. As the European equivalent, NürnbergMesse and IAA Transportation accept class C-s2,d0 to EN 13501-1, Düsseldorf at least c-s3,d0, the Buchmesse C-s2,d2. The evidence is not a detail: from the start of build-up, Düsseldorf asks on request for the test certificate and the conformity certificate of an accredited test body, and NürnbergMesse wants the test certificate available at the stand and reserves the right to run fire tests on site.

For plants and natural materials, Düsseldorf is the strictest in 2026: artificial plants, bamboo, reed, hay, straw, bark mulch, peat and similar materials are not permitted, and deciduous and coniferous plants only with a moist root ball. Nuremberg allows cut trees and plants only while green; as soon as they dry out and become easily flammable, they have to leave the stand. For two-storey stands, Düsseldorf and Hanover additionally require load-bearing components and stair substructures to be made of B1 material.

What happens when the deadline slips

The guidelines describe the consequences with varying clarity, but they come down to the same thing: the exhibitor carries the cost and the risk.

Consequences of a missed submission deadline, by venue and organiser
Venue / organiserWhat the guidelines provide for
Messe FrankfurtWithout an approval note, stand construction is not cleared. If the checked structural calculation is missing, the engineering office commissioned by the fair carries out the check at the exhibitor's expense. The on-site inspection by the structural engineer is invoiced on.
Messe DüsseldorfChecking requests arriving after the six-week deadline may no longer be considered. If they are processed anyway, a 35 percent surcharge is added to the plan-check fee. The exhibitor is always the debtor of the checking fees.
NürnbergMesse, SPS 2026Stands that do not comply have to be modified or removed. If that does not happen in time, the organiser has them modified at the exhibitor's cost and risk. Exemptions from the design guidelines are not granted.
IAA Transportation 2026 (VDA)Late submission delays processing considerably. Designs arriving shortly before build-up starts are checked only on site. That can lead to rebuilding and additional costs at the exhibitor's expense.

Wording follows the respective 2026 guidelines. In every case the exhibitor remains the addressee of costs and conditions, even where the stand builder did the submitting.

Who submits and who is liable

In the guidelines the exhibitor is the addressee: they are responsible for structural safety and must provide evidence where required, they owe the checking fees, and the approval goes back to them. In practice the stand builder submits, because they produce the drawings and the structural calculation. That break is the most common cause of missed deadlines: the agency designs, the builder calculates, the exhibitor does not have the date in the calendar, and nobody has read that the organiser wants eight weeks instead of six.

Three things help. First, the approval deadline belongs in the project plan just like the build-up day, and it is the organiser deadline that counts, not the venue deadline. Second, at the start of the planning one person should be able to say which elements of the design trigger the approval requirement, before the design is fixed. Third, it is easier when concept, structural engineering and execution sit in one place: then the question "does this require approval?" does not travel between three companies but gets answered once.

What matters now for the autumn and winter shows of 2026

For IAA Transportation in Hanover the submission deadline has passed and build-up has been running since 3 September. For the Frankfurter Buchmesse in October, 1 August was the date for stand drawings, and special constructions had to be submitted eight weeks before build-up started. For SPS in Nuremberg from 24 to 26 November 2026, NürnbergMesse allows up to 42 days of processing, two-storey structures need the organiser's consent, and anyone wanting to start build-up early has to apply in writing by 30 October 2026. For shows in spring 2027: the 2027 technical guidelines are in part not published yet, and Düsseldorf has already announced the higher plan-check fee of €115.

Frequently asked questions

That depends on the venue and on the show organiser. At Messe Frankfurt, stand structures and exhibits above 4.00 m require approval, single-storey stands below that with less than 100 sqm do not. The Frankfurter Buchmesse already asks for complete stand drawings from 2.5 m in height or from 40 sqm. Messe Düsseldorf and NürnbergMesse do not tie approval to a height but to the type of construction: single-storey inside a hall without special constructions is free, everything else is not. On top of that, each hall has its own maximum height, in Hanover for example 6.50 m for stand construction and advertising.

The venue operators name six weeks before the start of build-up as the standard (Messe Frankfurt, Messe Düsseldorf). For complex cases NürnbergMesse allows up to 42 days of processing time from receipt of the complete documents. Show organisers often set earlier, fixed dates: the Frankfurter Buchmesse wants stand drawings by 1 August and documents for special constructions eight weeks before build-up starts, IAA Transportation 2026 wanted every stand requiring clearance by 26 June 2026. The exhibitor manual of the specific event is always what counts.

For 2026 Messe Frankfurt charges €1,495 per on-site structural inspection of a two-storey stand, €499 for walls above 4.00 m or LED walls and €965 for structurally complex constructions. Messe Düsseldorf charges €105 net for a single plan check (€115 from 2027) plus a 35 percent surcharge if the documents arrive after the six-week deadline. At IAA Transportation 2026 the VDA covers the checking fees, provided the submitted documents comply with the guidelines.

Yes. Two-storey stands require approval at every venue examined here. Messe Frankfurt and IAA Transportation require a structural calculation to German standards that has been checked by a second, independent structural engineer. If it is missing in Frankfurt, the engineering office commissioned by the fair does the check itself and invoices the exhibitor. At SPS in Nuremberg, two-storey stand construction is possible only with the organiser's consent and up to a maximum of 8.00 m.

On the Messe Düsseldorf grounds, yes: the 2026 technical guidelines ban artificial plants, bamboo, reed, hay, straw, bark mulch and peat, and real deciduous and coniferous plants are allowed only with a moist root ball. At other venues the general rule applies: decoration material must be at least flame retardant (B1 to DIN 4102-1) and the test certificate must be available for inspection at the stand. NürnbergMesse additionally requires that cut trees and plants are used only while green and removed as soon as they dry out.
